Monitoring& Evaluation

In all projects, monthly planning versus achievement meetings are held between the field coordinator and all field staff. The field coordinator sets monthly and weekly targets with the staff. These are broken down into daily work plans. Hence, the field staffs are able to self-monitor their own achievements. The achievement or non-achievement of targets in the last month and the targets for the following month are discussed in these meetings. Through this monitoring, BIJAM are able to check if the activities planned are taking place, to identify training needs and consider if there is a need to reallocate resources to ensure the project objectives are met. From these meetings the field coordinator is able to report back to the concern project in-charge on the project status. Occasionally, the project in-charge will attend a meeting to add his support and encouragement. The project in-charge will be initially responsible for monitoring and evaluating all project activities, by regular field visits to the sites. However the program director will make the final decisions with regard to changing activities, training needs and the reallocation of resources in consultation with the supporting donor.WOSCC holds a project review and evaluation meeting to develop and disseminate the achievements of the project based on the set indicators at the completion of the project or annually if the project is longer than one year. Participatory group discussions are held among the target group on a monthly basis to evaluate the project. These group discussions not only provide a forum for the target group to exchange views and to understand they are not alone in their thoughts and beliefs but also ascertain whether the services and information provided to the target group is making an impact. They also provide an opportunity to change activities to reflect the needs of the community, if necessary. From all these meetings and the review process WOSCC submits monthly target evaluations together with quarterly & annual reports including financial information and narratives on the project achievements to donor agencies.
